Terms and conditions for participation in EAN events & for receipt of EAN grants 

The terms apply for all EAN activities and grants, meaning that participants applied and received a financial contribution from EAN. This can be either a grant in cash (e.g. fellowships) or event participation (e.g. congress bursary, ean schools) where travel and accommodation, tuition, or similar are covered for the applicant. 

  1. Validity of Grant: 
    a) Confirmation: Upon receipt of acceptance letter from EAN, confirmed by participant in given timeframe. Otherwise, not valid anymore. 
    b) Timeframe: The grant is valid only for the event and the timeframe indicated in the programme description and for which the application was made. A transfer to another person, another time or another event is not possible. 
     
  2. Withdrawal from event or grant after confirmation/sending return sheet: 
    If a candidate cannot attend after having confirmed his /her participation, EAN must be informed immediately and at least 6 weeks before the start of the event (or according to the timeframe given in the announcement of the event). 
    In case of withdrawal shorter than 6 weeks before the start of the EAN event, EAN reserves the right not to accept applications from the grantee for any other EAN grants in the future. 
    a) Special rules for interruption/termination of fellowships apply: if the applicant needs to prematurely withdraw the stay abroad for significant reasons, they must send a written confirmation of renunciation. The transfer of the financial contribution to the participant will be discontinued. If the financial contribution has already been sent, the participant will be asked to refund the grant proportional to the period waived. 
     
  3. No shows: 
    In case of no show, meaning no information on the reason of withdrawal or absence was received before or immediately after the event, candidates will not be eligible for any future grants and activities. EAN reserves the right to charge the grantee the incurred costs. 
     
  4. Cancellation from EAN side:
    EAN will do its best to carry out the activities as planned and announced. We reserve the right to cancel or change the activities, including the time, venue and programme, if necessary, and will immediately inform our participants about such changes. We will not be able to reimburse any costs of any pre-booked travel or accommodation.
     
  5. Liability 
    EAN accepts no liability for death, illness, injury, any loss, cost or expense suffered by any person (including possible accompanying persons).
    It is recommended to take out an appropriate travel and health insurance.
     
  6. Marketing
    Photographs and videos may be taken capturing material that may be used for future marketing and promotional purposes via the EAN communication channels, including website and social media platforms. By applying for an EAN activity, you are accepting that if photograph(s) and/or video footage are taken of you at the event, the EAN owns the right to use the materials.
