1. General Information Before You Register

To be able to register, an individual MyEAN account for each participant is required. The same login data is used to gain access to the virtual congress platform. You can create a MyEAN account here if you do not have one yet: MyEAN.

Upon receipt of the registration fee payment, participants will either receive an invoice or a registration confirmation depending on their registration method via email and with this, the registration is valid. Payments via bank transfer after 29 May 2025 may not guarantee access to the live congress on 21-24 June 2025. Please be aware of this risk!

Do you want to benefit from EAN Individual Member’s registration fees? Submit your complete membership application via your MyEAN account and await approval of your application. Note that this may take up to 10 working days. Once approved, you can register for the congress and benefit from the reduced fees. 2. Fees & Congress Registration Types 

The EAN offers both onsite and virtual interactive tickets. Note that for 2025, there are two deadlines which are early registration deadline on 16 April and regular registration deadline on 6 June 2025. Therefore, the fees for onsite tickets increase after these dates.

If you are going to apply for EAN membership or have already applied and are waiting for your application to be approved, please wait until it is approved before you register for the congress. If you have registered with a non-member ticket prior to the approval of your membership application, a partial refund will not be possible.

3. How to Register

This type of registration is for an individual participant who would like to register him-/herself for the congress. For this registration method, the order confirmation and invoice will be sent directly to the participant.

To register, log in to your MyEAN account or create a new account in case you do not have one yet: MyEAN.

This registration type is suitable for someone who would like to register someone else or a group of participants who do not have a MyEAN account at time of registration. Please note that, eventually, all participants must have a MyEAN account to be successfully registered for the congress. In addition, there is no minimum number of participants. For this registration method, the order confirmation and invoice will be sent to the registering person. 

This type of group registration is divided into two parts: ticket purchase and ticket allocation. Once the payment status of the order is shown as ‘Paid’, the registering person/group leader will be able to allocate tickets to group members. For ticket allocation, make sure participants have a MyEAN account. Only their email addresses tied to their accounts are needed for ticket allocation.

For badge retrieval, there are two options for groups consisting of 5 or more onsite participants: Pre-Print by EAN and Onsite Print. For the former, badges for tickets allocated by the deadline (21 May 2025) will be pre-printed by EAN. For the latter, each participant will receive a separate email with QR code and instructions for their own badge printing at the congress venue. If the Pre-Print by EAN option is selected, tickets must be allocated to participants by 21 May 2025. Otherwise, the badge retrieval method for unassigned tickets will be changed to Onsite Print.

The registering person/group leader will be able to order congress bags for the entire group at the time of registration while stock lasts and will be responsible for the badge and bag pickup if applicable.

Purchasing additional tickets to an existing group is possible.

4. Good to Know

If you have already registered and would like to check the status of your registration and/or the type of your participation, please log in to your MyEAN Account and click ‘EVENTS’, ‘My Registrations’ and on the upcoming congress. On the next page, you can see detailed information of your registration and participation. 

  • The field ‘Status’ shows the status of your registration. 
  • The field ‘Role’ shows if you are registered as an individual participant, a group member or an exhibitor. 
  • The field ‘Participation Type’ shows whether you have registered for the onsite or the virtual congress. 
  • The field ‘Badge Retrieval’ shows the badge retrieval method selected at the time of registration. If 'Pre-print by EAN' is shown, you will receive your badge from your group leader. If 'Onsite Print' is shown, you will print your own badge at the congress venue using the QR code sent to your email. If blank, you have a registration for the virtual congress. 
  • If you have signed up for additional sessions and service, you will see them under ‘Session Participations’. 

Your QR code is stored on this page under ‘Files’. 

For individual registrations: 

Participants will receive a separate email with QR code and instructions. Either print your QR code or download it to your smart device. At the congress, please proceed to the Badge Print Station. Scan the QR Code and wait for your badge to be printed. 

For group registrations: 

For registering persons/group leaders: If you have purchased group tickets and opted for Pre-Print by EAN at the time of registration, you are required to allocate tickets to your participants by 21 May 2025. Otherwise, access to the congress and venue cannot be permitted/guaranteed. In addition, if any of the tickets has not been allocated by this deadline, the badge retrieval method of these tickets will be changed to Onsite Print. 

For pre-printed badges, the Registration team (registration(at)ean.org) will reach out to group leaders regarding the badge pickup time slot. 

However, if you have opted for Onsite Print at the time of registration, please allocate tickets to your participants before the congress as early as possible to avoid participants not having access to the congress. 

For participants: If you have received the registration confirmation email but have not yet received your QR code, please check your participation status. If 'Pre-print by EAN' is shown under the field ‘Badge Retrieval’, you will receive your badge from your group leader. If 'Onsite Print' is shown, you will print your own badge at the congress venue using the QR code sent to your email. If blank, you have a registration for the virtual congress. 

Please be aware that in case of losing your badge, the registration fee is charged again. 

EAN offers following additional sessions, which are available for onsite registrations only: Hands-on Courses and Meet Your Neurology Network. Tickets to these sessions must be purchased in addition to your congress registration ticket. 

You can purchase your additional session ticket(s) during registration. If you have already registered but would like to purchase a ticket to an additional session, please log in to your MyEAN account and click ‘EVENTS’, ‘My Registrations’ and on the upcoming congress. Click on the Upgrade button. Please find the detailed instruction manual here

Aiming to support families and parents attending the 11th EAN Congress, we offer a childcare service. 

The Junior Suite Service is available for children between 1 and 12 years of age. 

To sign your child(ren) up for the Junior Suite Service, select ‘Junior Suite - 1st Child (2nd Child/3rd Child)’ under Additional Sessions during your congress registration. Please go through the EAN Junior Suite Service Factsheet carefully and fill in the application form. Note that applications are only valid if the registration is paid and the form is submitted. You will receive a confirmation via email. 

If you have already registered for the congress and wish to sign up your child(ren) for the Junior Suite Service, log in to your MyEAN account and click ‘Events’, ‘My Registrations’ and on the upcoming congress. Next, click ‘Upgrade’. You will see all sessions we offer, scroll down until you see ‘Junior Suite - 1st Child’ and ones for the second and third children. 

Please send your application form before 6 June 2025 to registration(at)ean.org. The application form and the fact sheet will be available for download once the registration system is open. Vacant slots after this deadline will be provided upon availability and on a first-come, first-served basis. Note that the same congress registration cancellation policies apply to the Junior Suite service. Cancellation is granted only when a request is sent within 14 days after the contract is concluded. Also note that a partial refund is not possible.

If needed, you can request for a visa letter through your MyEAN account. Log in to your account and go to ‘EVENTS’ and ‘My Registrations’. Click on the upcoming congress and on the next page, in the top right corner, there is a button for the visa letter. 

Note that visa letter can be requested only once! Therefore, please make sure you provide correct information for it. Also note that the visa letter can only be requested upon a paid registration. 

Once done, your visa letter will be stored on the same page under ‘Files’ and also sent to your email.

5. Cancellation & Payment

  • Provided that you are a consumer, you have the right to withdraw from an order within 14 days without giving any reason by law. EAN will refund the full registration fee. 
  • No refund will be granted if the registration is cancelled after the withdraw period of 14 days, not even if due to visa rejection, illness, etc. Any cancellation shall be made via an email to registration(at)ean.org
  • Regarding participants whose participation fee is borne by a third party and such third party entering into the contract with EAN, no right of withdrawal is granted. 
  • Individual registration is not transferrable. 

EAN currently offers three payment options:

6. General Terms & Conditions for Registration

Here are some of the most important points regarding General Terms and Conditions for registration for the 11th Congress of the European Academy of Neurology 2025: 

  • Terms and conditions for registration must be accepted if you want to register for the congress. 
  • EAN Congress 2025 is planned to be held onsite in Helsinki, Finland (subject to current and legal possibility) and virtually in parallel. 
  • If the onsite congress cannot take place for reasons that are not in the sphere of influence of the EAN, the congress will take place virtually only. 
  • Virtual interactive registration fee is not refundable. 
  • Onsite registrations will be transferred automatically into virtual interactive registrations if no onsite congress is taking place. 
  • The difference between onsite and virtual interactive registration fee will be refunded within 4 weeks after the congress had been held. 
  • If access to the onsite congress is limited to a certain number of persons, only the number of persons permitted shall be granted access to the congress centre on a first-come, first-served basis. 
  • All registrations are not transferable.
